Getting started is simple. All it takes is for you to provide us with some background information on the help you need, the type of freelancer you are looking for, and your budget. Once we have this information, we can kick-start the process of finding you the ideal, dynamic freelancer to be part of your team.

Step 2: Have a conversation

Our business manager will call you to help identify your requirements, scope of work and budget as well as the culture of your business to match the virtual freelancer talent.

Step 3: Review the candidates

You will be presented with a selection of between 1 – 3 candidates to select from ahead of taking the next step, along with their rates – based on experience and your budget.

Step 4: The interview

Interview your chosen talent/s via zoom, teams or skype to start the process, establish the parameters and put plans in place for them to be part of your remote team.

Step 5: Sign contract

Complete the paperwork, starting with the signing of a contract which outlines all the T&Cs.

Step 6: Induction

An onboarding process and nurturing phase to check-in and ensure things all run smoothly.

Although the concept of having a virtual team is relatively new, it has been proven to increase productivity while eliminating the admin, costs and time associated with hiring permanent staff.  It keeps things simple while allowing you to ‘buy back time’ to be more focussed on your core business.

Chat to one of our business managers, this will help us get a better understanding of your needs and how a freelancer could fit into your business and culture to ease the work load.  Then, if this sounds like it is a solution, we will source suitable candidates for you to interview after which you will work directly with your freelancers.  However, rest assured, you will always have access to the business manager if you need any assistance. 

It depends on your requirements but usually our clients are matched within a week. The process involves our business manager selecting 1-3 top candidates from our freelancing talent pool, these profiles are sent to you for consideration and you decide who you think will be the best match.  This is followed up with a face-to-face interview.

Absolutely.  It is all about teamwork and once you have reviewed the top candidates you decide who you would like to interview.

No.  You will have a dedicated freelancer assigned to you, based on your needs, the industry focus, personality and working style.  Our business manager will check-in regularly to oversee the project.

While this is very rare, our business manager will be there to help.  You will work together to find a new match and keep the downtime to a minimum.  If there are any minor hiccups, our regular check-in sessions will help us address them to find a solution.

That will be a discussion between you and your freelancer to make sure you find a workable solution so that work can be done ahead of time, without a lapse in productivity. It’s important to communicate regularly and openly with each other on all issues.

A VA is a great multitasker and can handle everything from your calendar and appointments to managing your email accounts, posting on social media, proofing/editing documents, booking travel arrangements, coordinating between clients and/or team members … in fact organising almost anything you need!

All our contractors sign a Service Level Agreement (SLA) to protect you and your business.  If you would like any additional contracts or addendums, we can discuss that. We highly recommend strong passwords and using a password manager to keep your accounts secure.

Yes we do. There is no project too big or small for Ubuntu Freelancers.  The selection process remains the same but, once we know the deadlines that need to be met, we can streamline the steps  to speed things up and help you get the job done.

All working hours are tracked using Toggl (our preferred time tracking system) or a system of your choice.

On the last Friday of each month, Ubuntu Freelances will issue an invoice – on behalf of the freelancer – for work completed during the month.  Invoices are due for payment within five (working) days.  Banking details and payment terms will be outlined on the invoice.

 

Yes, there are two contracts that will need to be signed.

  1. Client Contract: Between you – our client – and Ubuntu Freelancers.
  2. Independent Contractor Terms and Conditions: This is a contract between you – as the client – and the freelancer which outlines the scope of work, such as the roles, responsibilities and deliverables.  

Freelancer rates vary, much like traditional staff salaries. Pricing is based on qualifications, experience and personal requirements.

We are happy to negotiate rates for long term and/or full time contracts.

No, there is no charge over and above the freelancer rates which are invoiced on a monthly basis for work undertaken.  

We differ from other agencies in that we believe in building and maintaining strong, long-term relationships with our clients and freelancers.  We won’t disappear once we’ve made the placement, we remain in touch and act as a conduit between you and the freelancer.  While the freelancer is soley responsible for delivering their scope of work, we remain available to you throughout the contract period, checking in regularly to ensure you’re happy with your placement(s).
